PowerPoint to PDF: Export Slides, Handouts, or Notes
Choose slide ranges and hidden-slide handling, then export full slides, handouts, or speaker notes and inspect the PDF.
Decide what each PDF page should contain
PowerPoint to PDF can export full slides, handouts with 2, 3, 4, or 6 slides per page, or speaker notes. The chosen layout changes the purpose of the result: full slides suit viewing, handouts condense several slides for printing, and notes combine each slide with its speaker notes.
The tool accepts PPTX and legacy PPT files. It reads slide count and hidden-slide information before conversion. Hidden slides are excluded by default.
Configure the export
- Choose the presentation and check its slide count.
- Select all slides or enter original slide numbers and ascending ranges such as
1, 3-5. - Enable hidden slides only when they belong in the published PDF.
- Choose Slides, a handout layout, or Speaker notes. Handouts and notes also use A4 or Letter paper and portrait or landscape orientation.
- Choose Standard, Smaller file, or Print quality, start conversion, and read any layout notices.
- Review the generated PDF preview and download the source-named result.
Illustrative handout decision
This example is illustrative; it was not used to measure conversion fidelity. A six-slide training deck might be exported as full slides for an on-screen review, three-slides-per-page handouts for note taking, or speaker notes for a facilitator. Those outputs are intentionally different. Compare each page with the relevant slide and verify that presenter-only content was included or excluded as intended.
What can change during PDF export?
PDF fixes the exported layout for viewing and printing. It is not a substitute for the editable deck. Microsoft’s PowerPoint PDF guidance describes slide ranges, handouts, notes, hidden-slide choices, and the resulting fixed layout. PDF Logic exposes corresponding choices, but the rendering engine and available fonts can differ from the computer that authored the deck.
- Check substituted fonts, text wrapping, equations, charts, transparency, and media poster frames.
- Test links if the recipient needs them; do not infer link preservation from visual appearance.
- Compare page count with the selected slide range and chosen handout layout.
- Keep the PPTX or PPT as the editable original.
When the PDF is the only source
